Billing Management

On.Care Has introduced Billing Management into our software. This feature will allow users to manage all billing for their facilities easily directly through the software. In addition, billing management will allow new facilities to get up and running at a much quicker rate, by providing instant billing and activation.

Below you will find a walk through of adding a new facility with billing, as well as managing billing for active facilities!

First things first, in order to access anything related to billing, you must ensure that your user account has access to the billing screens within user rights. If you have access to change user rights, you can go to the management drop down along the top of the web version, from there choose users, then search. On the users screen select the user you would like to modify.

 

Once you have selected the appropriate user, go to page rights and select Billing from the left side options. Within billing, you can select Check all, if the user will have rights to see and modify billing, otherwise only choose allow view if you only want the user to see billing details, but not modify. Make sure to save!

From here, you will now have the ability to access billing management.

We will first go over facility billing during setup. If you are unfamiliar with how to add a new facility, you can check out this article Adding a new facility.

When signing up a new facility, the 3rd step will indicate your rates and AP contact, the 4th step will be facility payment. The first screen below is the AP contact and Billing info screen.

Once you have added AP contact info, you are brought to the payment method page. From this page you can choose from existing company payment methods, or add a new facility specific payment method. A company payment method is universally available for all facilities, whereas a facility specific method, is only available to the facility assigned.

 

If you choose to add a new card, the new payment method screen will popup. Make sure to fill out the information correctly, and equally important, check off whether this card will be a company card or not.

Once the payment method (new or old) has been chosen, you can click next, confirm all the facility information, and process the new facility.

Managing Existing Payment Methods

To access billing management for existing facilities and payment methods, go to the Management drop down in the navigation bar.

This will bring you to screen that contains all current facilities and their billing information.

Choose the facility that you would like to view/modify. On the facility page, you can:

  1. See invoices for the facility

2. See your current rates

3. Manage your Payment Methods.

As mentioned before, Company Credit cards are available across all facilities, individual credit cards are only available to the facility they are connected with. If you would like to add a new payment method, you will get the following popup.
